This Privacy Policy explains how Zio Security LLC("ZioVoice," "we," "us") collects, uses, and shares information when you use the ZioVoice website, application, and services (the "Service").

1) Who we are
ZioVoice is an AI receptionist SaaS product operated by Zio Security LLC, based in Panama City, Florida (USA).
2) What we collect
We collect information you provide, information generated through your use of the Service, and information from third parties you choose to connect.
A. Account and billing information
- Name, email address, and organization details (for account setup and administration)
- Authentication and organization membership data (handled through our auth provider)
- Billing details such as subscription status, invoices, and payment method tokens (handled through our payment processor; we do not store full payment card numbers)
B. Call-related information (no recordings)
ZioVoice does not record or store call audio.
We may collect and store:
- Call transcripts (text)
- Call metadata such as date/time, duration, caller ID/phone number, and routing outcomes
- Lead and intake data captured during a call (for example: caller name, email, reason for calling, appointment preferences, and notes)
C. Usage and device information
- Log data such as IP address, browser type, device identifiers, timestamps, pages/actions, and error logs
- Performance/diagnostic data to keep the Service reliable
D. Communications
- Emails you send to us and messages you send through the Service
- Service emails we send to you (billing notices, account updates, security notices)
E. SMS alerts and mobile information
ZioVoice may allow you to receive service-related text messages (SMS) such as call or lead notifications and account-related alerts.
What we collect: If you opt in to SMS alerts, we collect your mobile phone number and messaging preferences. We also collect message metadata such as delivery status and timestamps.
How we use it: We use this information to send the SMS alerts you request, provide customer support, prevent abuse, and operate and improve the Service.
How we share it: We use service providers to deliver SMS, such as Twilio. We share your mobile number and message-related data with these providers only as needed to send messages and operate the Service.
No sale or marketing use: we do not sell, rent, or share your mobile phone number or SMS opt-in information with third parties for their marketing or promotional purposes.
3) How we use information
We use information to:
- Provide, operate, and maintain the Service
- Create and manage accounts, organizations, and access controls
- Process subscriptions, payments, and billing (including free trials)
- Route calls, generate transcripts, and deliver the outputs you request
- Support customers and respond to requests
- Monitor for abuse, fraud, and security issues
- Improve the Service, including debugging and performance tuning
- Comply with legal obligations and enforce our terms
4) How we share information
We share information only as needed to provide the Service, comply with law, or protect our rights.
A. Service providers (subprocessors)
We use third-party providers to deliver key parts of the Service. Depending on your configuration and usage, these may include:
- Twilio (telephony and call routing)
- Google Gemini Live (real-time AI responses and transcript generation)
- Clerk (authentication and organization management)
- Stripe (payments and billing)
- SendGrid (transactional email delivery)
These providers process data on our behalf under their own terms and privacy policies.
B. Within your organization
If you use the Service as part of an organization, your org admins may be able to access information about your account, usage, and call outputs according to your organization's settings.
C. Legal, safety, and enforcement
We may disclose information if we believe disclosure is reasonably necessary to:
- comply with law, legal process, or government requests;
- enforce our agreements;
- prevent fraud or abuse; or
- protect the rights, property, and safety of ZioVoice, our customers, or the public.
D. Business transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction.
5) Data retention
We keep personal information only as long as needed for the purposes described in this policy, including to provide the Service, meet legal obligations, resolve disputes, and enforce agreements.
Retention depends on what data it is and how the Service is used. For example, we may retain transcripts and call metadata so you can review prior interactions, train your internal workflows, and maintain your records. You can request deletion as described below.
6) Your choices and rights
Depending on where you live, you may have rights to access, correct, export, or delete certain personal information.
You can:
- Update account details in the Service (where available)
- Request export or deletion by emailing support@ziovoice.com
We may need to verify your identity and/or organization role before fulfilling requests.
7) Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system is 100% secure, so we can't guarantee absolute security.
8) International data transfers
If you access the Service from outside the United States, you understand that information may be processed in the United States and other locations where our service providers operate.
9) Children's privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided personal information, contact support@ziovoice.com.
10) Changes to this policy
We may update this Privacy Policy from time to time. We'll post the updated version with a new effective date. If changes are material, we may provide additional notice (for example, by email or in-app).
